Privacy Policy

Effective Date: February 15, 2025

At IgniteOnMaxon, we understand that your data matters. This policy explains how we handle information when you work with us for software testing and debugging services. We've written this in plain language because legal documents shouldn't require a law degree to understand.

Who We Are and What This Covers

IgniteOnMaxon operates from Port Macquarie, New South Wales, providing software testing and debugging services to clients across Australia. When we say "we," "us," or "our," that's who we mean. This policy applies to information we collect through our website (igniteonmaxon.com), when you contact us for services, and during our work together.

We're bound by the Australian Privacy Principles under the Privacy Act 1988. That means we follow specific rules about how we handle your information—and you have real rights when it comes to your data.

Information We Collect

The type of information we gather depends on how you interact with us. Here's what that actually looks like in practice:

When You Contact Us

If you reach out through our contact form or email, we collect your name, email address, phone number (if you provide it), and whatever details you share about your project needs. We need this to respond to your inquiry and understand what you're looking for.

During Service Delivery

When we work together on testing or debugging projects, we collect information related to your software systems. This might include access logs, error reports, system configurations, and technical documentation you provide. We also keep records of our communications about the project—emails, meeting notes, and agreed-upon specifications.

Website Usage Data

Like most websites, ours collects basic technical information when you visit: your IP address, browser type, pages you view, and how long you spend on them. We use this to improve our site and understand how people find us.

We don't use tracking cookies or third-party analytics that follow you around the internet. Any technical data we collect stays with us and gets used solely for improving our services.

How We Use Your Information

We're not in the business of selling data or building profiles. Here's what we actually do with the information we collect:

  • Respond to your inquiries and provide quotes for services
  • Deliver the testing and debugging work you've hired us for
  • Communicate about project progress, findings, and recommendations
  • Send invoices and process payments (through our payment processor)
  • Improve our testing methodologies based on what we learn from projects
  • Keep records for legal and accounting requirements
  • Occasionally send updates about our services if you've opted in

Every piece of information serves a specific purpose related to our work together. We don't dig through your data looking for extra insights to monetize.

Data Storage and Security

Your information lives on secure servers located in Australia. We use industry-standard encryption for data transmission and storage. That means SSL/TLS protocols when data moves across the internet, and encrypted databases when it sits on our servers.

Who Has Access

Only team members directly involved in your project can access your information. We don't have a massive organization—our small team means fewer people handling your data, which we think is actually better for security.

Technical Safeguards

  • Regular security audits and system updates
  • Multi-factor authentication for all team access
  • Encrypted backups stored separately from primary systems
  • Secure file transfer protocols for sharing sensitive documents
  • Regular monitoring for unauthorized access attempts

Look, no system is perfectly hack-proof. But we take reasonable precautions and stay current with security best practices. If something ever went wrong, we'd notify you promptly—as required by law and basic decency.

Sharing Your Information

We don't sell or rent your data. Period. But there are limited situations where we share information:

Who We Share With What We Share Why
Payment processors Billing information To process payments for our services
Cloud hosting providers Project data and communications To store and access files securely
Email service providers Contact information To send project updates and communications
Accounting professionals Financial records To meet tax and legal requirements
Legal authorities Whatever they legally require When we're legally obligated to comply

All third parties we work with are contractually required to protect your information and use it only for the specific purposes we've outlined. We vet our partners carefully.

Your Rights and Choices

Under Australian privacy law, you have specific rights regarding your personal information. Here's what you can actually do:

Access Your Information

You can request a copy of the personal information we hold about you. We'll provide it within 30 days, free of charge for the first request in any 12-month period.

Correct Inaccuracies

If something we have on file is wrong, tell us. We'll fix it promptly. This matters especially for contact information and project specifications.

Request Deletion

You can ask us to delete your personal information. We'll comply unless we have a legal reason to keep it (like tax records we're required to maintain for seven years). We'll explain if we can't delete something and why.

Opt Out of Marketing

We occasionally send updates about our services to past clients. Every email includes an unsubscribe link. Click it once, and you're off the list—no questions asked, no "are you sure?" screens.

To exercise any of these rights, email us at support@igniteonmaxon.com with "Privacy Request" in the subject line. We'll respond within 5 business days to confirm we've received your request.

Data Retention

We keep different types of information for different lengths of time:

  • Project files and technical data: Typically 3 years after project completion
  • Financial records: 7 years as required by Australian tax law
  • General inquiries: 2 years from last contact
  • Marketing consent records: Until you opt out, then we keep only a record that you opted out
  • Website analytics: Aggregated data kept indefinitely; individual IP addresses deleted after 90 days

When we delete data, it's gone. We use secure deletion methods that make recovery impossible. Backups get cycled through and eventually overwritten.

International Data Transfers

We're based in Australia, and we keep your data in Australia. Our hosting infrastructure is located within Australian data centers. If we ever needed to transfer data internationally (which we don't currently do), we'd ensure adequate protections and notify you first.

Some of our software tools are provided by international companies, which means data might technically pass through their systems. However, we choose providers carefully and ensure they meet Australian privacy standards.

Children's Privacy

Our services aren't directed at children under 18. We don't knowingly collect information from minors. If you're under 18 and considering our services, please have a parent or guardian contact us instead.

Changes to This Policy

We update this policy occasionally as our practices evolve or laws change. When we make significant changes, we'll email active clients and post a notice on our website for at least 30 days. The "Effective Date" at the top tells you when the current version took effect.

Minor clarifications or formatting changes might happen without notification, but anything that materially affects how we handle your data gets announced properly.

Making a Complaint

If you think we've mishandled your information, please tell us first. Email support@igniteonmaxon.com with details of your concern. We'll investigate and respond within 30 days.

If you're not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC). They're the federal agency that oversees privacy law compliance. You can reach them at:

  • Website: oaic.gov.au
  • Phone: 1300 363 992
  • Mail: GPO Box 5218, Sydney NSW 2001
